Procurement Assistant

Job Summary

Assist in leading the implementation of procurement policies and procedures to deliver best output in terms of cost, quality and service. He/she will contribute in managing and allocating approved resources in an efficient and timely manner to ensure the operating needs of the Center are met effectively and ensure continuity of service.

Job Responsibilities

Under the direct supervision and guidance of the Senior Executive-Procurement, the Procurement Assistant will be in charge of:

  • Process purchase requisitions / orders within purchasing authority and strict adherence to ICBA policies and procedures
  • Invite bids, assess, and recommend suppliers for the supply of goods and services
  • Prepare and maintain purchasing records, reports and price lists and information database
  • Work with internal and external stakeholders to determine procurement needs, quality, and delivery requirements
  • Assist in the development of specifications for equipment, materials, and services to be purchased
  • Administer contract performance, including delivery, receipt, warranty, damages and insurance
  • Reconcile or resolve value discrepancies
  • Comply with and maintain knowledge of applicable rules, legislation, regulations, standards, and best practices in procurement
  • Develop and maintain constructive and cooperative working relationships with colleagues and management
  • Assist the Senior Executive-Procurement to establish and negotiate contract terms and conditions with suppliers, and maintain supplier relationships

Qualifications and Experience

Essential

  • Bachelor degree in business administration such as logistics, supply chain management
  • 3 years’ work experience in procurement
  • Working knowledge of ERP, supply chain and other relevant tools and technology
  • Good working knowledge of English
