Job Summary

General Accounting

Job Responsibilities

• Maintain integrity of accounting records by implementing ICBA Finance Policy and other ICBA Policies

• Responsible for all disbursement transactions that include but not limited to

  • Securing bank details and/or bank certificate from vendors, partners, staff, and other stakeholders with dues from the Center
  • Ensure completeness of bank details and update the bank detail database in the ERP and in the online banking
  • o Processing and posting of payment transactions in the ERP o Processing of payment vouchers and securing approvals
  • Uploading all approved payments in the online banking portal
  • Monitor and track statement of accounts from vendors and reconcile with sub-ledgers
  • Prepare monthly summary of disbursements
  • Prepare aging statement of accounts payable and reconcile with vendor ledgers
  • Processing payment via credit cards for online purchases

• Responsible for treasury transactions

  • Monitor bank balances and update all stakeholders for incoming and outgoing funds
  • Monitor cash flows and ensure sufficiency of funds for operations
  • Prepare periodic cash position forecast and propose short-term investment opportunities
  • Negotiate with the bank for forex conversions between accounts
  • Serve as liaison with the bank for all banking requirements such as credit cards, fixed deposits, dollar withdrawals, opening and closing of accounts, appointing, or deleting bank signatories, and securing any bank certificate
  • Track all bank charges, foreign translations, and advise discrepancy, if any, for all bank accounts and post relevant journal entries o Support the employees for opening bank accounts

• Custodian of the office petty cash fund o Review petty cash advance, petty cash reimbursements and validate the supporting documents

  • Ensure all transactions are compliant with ICBA petty cash guidelines and threshold
  • Process petty cash vouchers, secure online approvals, and disburse accordingly
  • Prepare petty cash summary report as per the petty cash guideline and request for replenishment

• Responsible for paying fees concerning government entities

  • Process VAT payments via Federal Tax Authority Portal
  • Process customs and duties in collaboration with procurement unit
  • Prepare the schedule of INPUT VAT on quarterly basis and submit for refund to Federal Tax Authority.
  • Process pension of local employees through the GPSSA
  • Process payment for NOQODI visa and reconcile statement and prepayment accordingly

• Support the payroll preparation by tracking all personal staff expenses and uploading these to Payroll CRM

• Support the travelling staff by preparing cash, payment calculations, and acknowledgement receipts for distribution to stakeholders

• Prepare financial reports needed in renewing property insurance, public liability, and money insurance

• Support external audits, internal audit, and project audits

• Perform relevant month-end closing activities

• Perform other tasks as may be assigned by the Head of Finance

Qualifications and Experience

Essentials

  • University Degree in Accounting or equivalent.
  • At least 5 years working experience in similar function
  • Profound knowledge of IFRS
  • Excellent written and spoken English
  • Proficient in MS Office (e.g. Advanced Excel)
  • Hands on experience with ERP

Desirable

  • Hands on Experience with Microsoft Dynamics Navision
  • Accounting Certifications e.g. CPA, CMA, ACCA
  • UAE nationals
